CloudTrucker.ai (“we”, “our”, or “us”) values your privacy. This Privacy Policy outlines how we collect, use, share, and protect your information across our mobile and web platforms for Carriers, Drivers, Dispatchers, Brokers, and Agents.

1. Information We Collect

A. Personal Information

We collect personal information required to create and maintain accounts:

Name, email, phone number
Role (Driver, Carrier, Broker, Dispatcher, Agent)
Government-issued ID (for identity verification if opted via ID.me)
Password (hashed and secured)
Emergency contact details (optional)

B. Location & Telemetry Data

For tracking and logistics:

Live GPS location (Driver only, during active load or opted-in tracking)
Geofencing status (e.g. arrival within 1 mile of pickup/delivery)
Device OS, model, and background service diagnostics

C. Load & Document Data

For logistics and operational workflow:

Load assignments and shipment details
Appointment and detention timestamps (IN/OUT)
Uploaded documents (e.g., BOL – Bill of Lading)
Photo/video submissions (for delivery or proof of condition)

D. System Logs & Usage Analytics

Login timestamps, device IP address
Feature usage (e.g., load status updates, dashboard interactions)

2. How We Use Your Information

We use your information to:

Authenticate users based on role (Driver, Carrier, Broker, Dispatcher, Agent)
Enable role-specific dashboards and features
Track driver location and provide geofenced load updates
Facilitate real-time detention monitoring and payout requests
Enable document uploads and secure access (e.g., BOL)
Assign trucks and drivers dynamically for Carriers
Maintain audit logs for compliance and safety

3. Detention Tracking & Time-Based Data

Our system automatically logs detention timestamps:

Arrival and departure time per stop (auto/manual input)
Required BOL with IN and OUT times
Auto-email/push notifications to request detention pay if time exceeds 2 hours
Daily follow-up alerts until confirmation

This information is securely stored and only accessible to authorized parties within the Carrier/Broker workflow.

4. Sharing of Information

We do not sell personal data. However, we may share information:

With Carriers, Brokers, or Dispatchers assigned to the same load
With FMCSA or ID.me APIs (for verification, if opted in)
With third-party services for:
- GPS tracking (e.g., Google Maps API)
- Authentication (Firebase Auth)
- AI Transcription (if applicable)

All third parties are required to adhere to strict data protection obligations.

5. Data Retention

User accounts and associated data are retained for the duration of active usage and up to 12 months post-deactivation.
Load data, BOLs, and GPS logs are retained for 5 years for compliance, unless legally required to retain longer.

6. Security Measures

We use:

AES-256 encryption for all in-transit and at-rest data
Role-based access control (RBAC)
Tokenized login sessions with automatic expiry
Firebase & Google Cloud security standards

7. User Rights

You have the right to:

Access your data
Request data deletion (except legal or operational holds)
Export your load and tracking history
Revoke GPS location sharing at any time (will disable real-time updates)

8. Role-Specific Consent

Drivers: Consent is required for live GPS sharing during active load. Drivers can pause tracking manually unless required by Carrier/Broker.
Carriers: Consent is implied for all driver and truck management data.
Brokers & Dispatchers: Must only use information for load coordination.
Agents: Can view/manage only the drivers assigned to them.

9. Children’s Privacy

Our platform is not intended for individuals under 18 years of age.

10. Policy Updates

We may update this Privacy Policy. All changes will be notified via in-app message and email.
